Diama Security Limited, 25 Cabot Square, Canary Wharf, London E14 4QZ ("we", "us") provides the Diama Ops app and website at apps.diamasecurity.com for our employees and people applying to work for us. We are the data controller for the information described here. Contact us at apps@diamasecurity.com or 020 3954 7244.
To recruit and screen staff to British Standard BS 7858, manage employment, shifts and rotas, keep staff and sites safe (including responding to SOS alerts), record attendance and incidents, run payroll and invoice our clients.
Our lawful bases are: taking steps to enter into and perform your employment contract; our legal obligations (including right-to-work checks and SIA licensing requirements); and our legitimate interest in the safety of our staff, clients and the public. Where we carry out criminal record checks we do so as permitted by UK data protection law for the security industry.
We use these service providers, who process data only on our instructions: Supabase (database and file storage, hosted in London, UK), Cloudflare (website hosting and security) and Resend (sending account emails). Screening checks may involve credit reference agencies, the Disclosure and Barring Service, the SIA, the Home Office and your referees. We may share limited details (such as your name and licence number) with clients whose sites you work at. We do not sell your data or use it for advertising.
We keep employment and screening records for as long as you work for us and afterwards for as long as the law and BS 7858 require. Applications that do not lead to employment are deleted when no longer needed for recruitment. Attendance and incident records are kept as long as needed for contractual, legal and insurance purposes.
Data is encrypted in transit, access is limited by role (for example the control room cannot see screening or identity details), and changes to key records are logged.
You can ask to access, correct or delete your information, restrict or object to how we use it, or ask for a copy to be transferred. Email apps@diamasecurity.com. Some information must be kept by law even if you ask us to delete it. If you are unhappy, you can complain to the Information Commissioner's Office at ico.org.uk.
Officers cannot delete their own account in the app because it is linked to employment records. To ask for your account or data to be deleted, email apps@diamasecurity.com from the email address on your account.
